Roles & Responsibilities

 

Leadership

  • Develop, manage and enhance the HR policies of the company
  • Lead and improve the culture and uphold the values of the organization
  • Review budgets for current and future vacancies and ensure new recruitment and current staff comply with set budgets and restrictions
  • Develop presentations for the team as well as stakeholders as and when required
  • Support CEO, Operations & Finance team as and when required

Policies & Procedures

  • Strategically design, develop, review and monitor company policies and employees benefits and plans in line with business strategy
  • Ensure company policies, wellbeing and budgets are strictly adhered to at all times
  • Create, Implement, Revise new processes, policies and procedures within the organization.

Process

  • Manage the day to day operations of the HR functions and duties
  • Acting as a role model for all colleagues by continuously exhibiting a high level of service and attention to detail in all tasks
  • Create and maintain HR documentation with various activity and data
  • Accountable for all processes related to probation periods, employee grievances, performance improvement plans and disciplinary actions
  • Effectively monitor HR key performance indicators (KPIs), such as headcount, turnover, productivity and employment costs.
  • Initiate corrective actions when necessary.

Payroll

  • Responsible for providing monthly payroll to finance team as per agreed timelines, along with headcount sheets, commission and staff location files, expense forms and receipts, absences, bonus, leaves
  • Reimbursements and expenses related to employee entitlements as per CEO approvals
  • Maintain detailed financial reports and reconciliations; EOSB and bank clearances whenever required
  • Accountable for all requests from the Finance team regarding HR

Talent Acquisition

  • Source and recruit exceptional talent via available portals and existing staff; utilize a recruitment agency as a last resort and as approved and directed by CEO/CFO; negotiate staff packages
  • Coordinate communication with candidates and schedule interviews
    Recruiting and interviewing new hires
  • Assist our recruiters to source candidates and update our database

On-boarding and Exit Formalities

  • Prepare and maintain offer letters, employment agreements as per company policy and guidelines and as per CEO/CFO approval
  • Responsible for all onboarding activities: employee induction, policy reviews, new joiner forms, E-mail IDs, business cards, IT-related equipment, team introductions, immigrations and visa (whenever required) etc.
  • Conduct initial orientation to newly hired employees
  • Responsible for all exit formalities and procedures: exit, termination, resignation acceptance letters, company asset collections, EOSB as per law and according to individual cases of resignation or termination, hold and deduct final payments – if applicable, visa cancellations (whenever required) etc.

Compensation and Benefits

  • Prepare letters for promotions, increments and bonus as per approvals by CEO/CFO
  • Drive and oversee the yearly budget and appraisal exercise along with CEO/CFO
  • Stay up to date and review nationwide salary and benefit grids and corporate standards
  • Conduct periodic companywide surveys and implement change and enhancements as per CEO/CFO approvals
  • Create, maintain and oversee yearly employee appraisals and performance reviews along with CEO/CFO

Records Management

  • Ensure all employee files are kept up to date and as per Labour Laws
  • Compile and update employee records (hard and soft copies)
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)

Training

  • Identify training requirements for colleagues
  • Developing the training budget and ensuring the budget is spent well to meet the organizational requirements
  • Leading/organizing training classes or providing one-on-one training to colleagues
  • Periodically reviewing the training requirements with practice leads and updating the training plans.

Colleague

  • Lead new initiatives for Employee Engagement and Satisfaction
  • Address and resolve colleague issues and grievances with utmost priority
  • Deal with colleague requests regarding human resources issues, rules, and regulations
  • Responsible for preparing and filing all colleague letter requests (bank, immigration, NOC, payslips, salary certificates, salary increase letters, employment confirmations, travel, etc.)
  • Manage Staff and team events, birthdays, achievements, etc.
  • Maintain, track and file staff leaves: sick, annual, maternity, etc.
  • Maintaining a safe and clean work environment

Health Insurance

  • Maintain and oversee all records associated to new enrollments, deletions and changes for all staff
  • Obtain and negotiate competitive quotes for yearly renewals

External Communication

  • Communicate with public services when necessary

Statutory Compliance

  • Strategically and legally apply HR knowledge to ensure Company well-being at all times
  • Ensure the company has collected and filed all required documents to avoid court or legal actions
  • Managing the ESI, PF & other mandatory statutory requirements for the colleagues
  • Ensure the Company is always operating within the labour law and look out for the best interest of the Company and its employees.
  • Required to learn about the labour laws when the company starts operations in new regions

Skills/Experience

  • Minimum 4+ yrs. exp. in Human Resources
  • Experience in IT Services industry preferred
  • Knowledge about labour laws in the current regions of operations (India, UAE)
  • Excellent organizational skills
  • Strong communications skills to effectively communicate with colleagues, management remotely across different countries
  • Good experience in Word, Excel, PowerPoint and other office tools
